United Radiology Privacy Policy

At United Radiology, we are committed to protecting the privacy of our patients, prospective patients, referring health professionals, and other individuals we interact with. This Privacy Policy outlines how we collect, use, disclose, store, and manage personal information, including sensitive (health) information, in accordance with Australia’s Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs), and applicable State/Territory privacy legislation.


This policy applies to all personal information collected by United Radiology, including information from patients, referring health professionals, medical specialists, hospital staff, suppliers, prospective employees, and other individuals or organisations we communicate with.

Why We Collect Your Personal Information

We collect personal information, including sensitive (health) information, to:

 

  • Provide high-quality diagnostic imaging services.

  • Support the provision of medical care to patients and prospective patients.

  • Assist referring health professionals and other healthcare providers with patient-related services.

  • Facilitate employment, business operations, and service delivery.


Personal information is typically collected directly from you but may also be obtained
from third parties, such as referring health professionals, other healthcare providers,
or authorised representatives, with your consent or as permitted by law.

Types of Personal Information We Collect

We may collect the following types of personal information, including but not limited to:

  • Name, address, email address, and phone/mobile number.

  • Gender and pregnancy status.

  • Medical history, including previous imaging results, pathology reports, and operations.

  • Clinically relevant details (e.g., height, weight, menstrual cycle).

  • Medicare and private health fund details.

  • Billing and account information, including details related to Workers’

  • Compensation, Transport Accident Commission (TAC), or other third-party payers.

  • Referral and procedural details.

  • Family medical history (where relevant).

  • Employment-related information for job applicants or staff.

How We Collect Personal Information

We collect personal information using lawful and fair methods, such as:

  • Online forms, emails, telephone, or in-person interactions.

  • Referrals from health professionals or other healthcare providers.

  • Access to your Australian Government My Health Record (with your permission).

  • Other sources, such as hospitals, pathology labs, or authorised representatives, with your consent or in emergency situations.

  • Where we collect information about you from a third party, we will take reasonable steps to ensure you are aware of the collection, unless doing so poses a serious threat to life or health.

How We Use Your Personal Information

Your personal information, including sensitive (health) information, may be used for:

 

  • Assessing and managing your health, including preparing specialist medical reports.

  • Providing results to your referring health professional or other authorised health professionals involved in your care.

  • Contributing to your ongoing healthcare and treatment (unless you opt out).

  • Internal administrative purposes, such as billing, debt recovery, and appointment reminders.

  • Reporting incidents or alleged malpractice to relevant authorities (e.g., government bodies, legal professionals, or medical defence organisations).

  • Training, quality assurance, accreditation, customer satisfaction surveys, and service development.

  • De-identified medical discussions or educational purposes with health professionals.

  • Responding to inquiries made via our website, email, phone, or in person.

  • Employment-related processes, including candidate evaluation.

  • Market research, product development, and statistical analysis.

  • Any other purpose for which you have provided consent or that is reasonably expected.

We will seek your consent for any use or disclosure not outlined in this policy, unless required or permitted by law.

Disclosure of Personal Information

United Radiology does not sell or disclose personal information to parties unrelated to your medical care, except as outlined below or with your consent. We may disclose your personal information to:

  • Your referring health professional, their nominees, or other health professionals involved in your care.

  • Hospitals, medical specialists, or other radiology providers requiring your imaging history.

  • Secure electronic platforms (e.g., United Radiology’s Referrer Portal or promedicus.net) for authorised health professionals.

  • Contractors bound by strict confidentiality agreements for operational services.

  • Your nominated representatives (e.g., guardians, carers, or legal advisors).

  • Healthcare or law enforcement personnel in cases of serious threat to life, health, or safety.

  • Insurance agencies (e.g., Medicare, private health funds, TAC, Workers’ Compensation) for billing or benefit purposes.

  • Professional advisors, such as legal counsel or auditors.

  • Government or regulatory authorities as required by Australian law.

  • United Radiology’s associated entities within our corporate group, as defined by the Corporations Act 2001 (Cth).

Data Security and Storage

We take reasonable measures to protect your personal information from unauthorised access, loss, misuse, modification, or disclosure. These measures include:

  • Secure storage of electronic and physical records.

  • Access controls and authentication protocols.

  • Regular security assessments and staff training.

Health records are retained in accordance with Australian regulations:

  • For individuals over 18, records are retained for 7 years from the last service date.

  • For individuals under 18, records are retained until the individual reaches 25 years of age.

When records are no longer required, we will securely destroy or de-identify them.

Access and Correction of Your Personal Information

You may request access to your personal information held by United Radiology. We recommend obtaining results in consultation with your referring health professional, who can interpret them in the context of your overall care. Access to records or images may incur a fee, which you will be notified of in advance.


Requests for access or correction can be made in person, by phone, or via email to privacy@unitedradiology.com.au. You will need to provide identification and details of prior imaging services. In some cases, access may be denied (e.g., for legal reasons under the Privacy Act 1988), and we will provide an explanation where reasonable.


You are responsible for notifying us of any changes or errors in your personal information. Updates can be provided in person, by phone, or via email.

Electronic Result Access for Health Professionals

United Radiology provides a secure, electronic Referrer Portal for authorised health professionals to access patient reports and images. Access requires a username, password, and acceptance of Terms and Conditions, ensuring use is limited to medical purposes. Results may also be transmitted securely via pro medicus.net to nominated health professionals involved in your care.


With your consent, or where medically appropriate, we may provide access to your information to other health professionals or hospitals.

Delivery of Results

Results may be delivered confidentially via United Radiology staff, third-party couriers, or registered post. If you prefer to collect your results in person, please inform our staff. Third parties collecting results on your behalf must provide photo identification and your written consent.

Limiting Access to Your Information

You may request to mark your records as “Privacy” to limit access to a restricted group within United Radiology and only to health professionals directly involved in your care. Note that restricting access may delay or impact your medical management, and you should discuss this with your treating practitioner.

Anti-Spam Policy

United Radiology will not rent, sell, or share your personal information, including email addresses or phone numbers, for marketing purposes without your consent.
